This individual will play a crucial role in overseeing the daily operations of our office, ensuring efficient workflows, and providing comprehensive administrative support.
Proficiency in Quickbooks desktop and Microsoft Office is essential for this position.
We are looking for someone who is mature, responsible and possesses strong organizational and bookkeeping skills.
The ability to perform various errands related to the business is required.
Previous experience as an administrative assistant would be a valuable asset in this role.
Responsibilities:
Oversee and manage the day-to-day operations of the office, maintaining supplies and ensuring a well-organized workspace.
Utilize Quickbooks desktop to manage bookkeeping tasks, including accounts payable and receivable, financial recordkeeping, and reporting.
Assist with administrative tasks such as data entry, managing correspondence, scheduling appointments, and handling phone calls.
Coordinate and support various projects, ensuring deadlines are met and resources are allocated appropriately.
Collaborate with team members across different departments to facilitate effective communication and workflow.
Perform errands related to the business, such as banking, purchasing office supplies, and delivering important documents.
Maintain confidentiality and handle sensitive information with discretion.
Keep accurate records and files, ensuring easy retrieval of information when needed.
Assist in the preparation of reports, presentations, and other documentation as required.
Act as a liaison between employees, clients, and vendors, providing assistance and resolving inquiries promptly.
Stay updated on industry trends and advances in technology, implementing improvements where necessary.
Support the overall functioning of the office, fostering a positive work environment and contributing to a cohesive team atmosphere.
Qualifications:
Proven experience as an Administrative Assistant or similar role, with a background in bookkeeping preferred.
Proficient in using Quickbooks desktop for financial management and Microsoft Office for administrative tasks.
Strong organizational and multitasking skills, with exceptional attention to detail.
Excellent written and verbal communication abilities, including professional phone etiquette.
Highly responsible and dependable, able to prioritize and meet deadlines.
Demonstrated problem-solving and decision-making skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Professional and friendly demeanor, with a customer service-oriented approach.
Familiarity with office equipment and basic troubleshooting abilities.
Prior experience with errand running and general office management is a plus.
